About the role
Key roles and responsibilities
– Reporting to the Director provide a full range of administrative and clerical support services
– Manage the day-to-day communications for the Director liaising with Marlin staff and clients
– Carry out proactive diary management demonstrating a good understanding of the Director’s priorities and commitments
– Resolve conflicting demands on the Director’s time from staff, managers, clients and other external stakeholders
– Initiate own correspondence in response to internal and external communications using excellent oral and written communication skills
– Facilitate meetings through the provision of minutes, agendas, booking rooms and advice to attendees
– Act as the first point of contact with clients and external stakeholders
– Produce high quality documents using Word, PowerPoint and/or Excel as appropriate
Skills and competencies
– Exceptional interpersonal skills with the ability to work well with a range of people with different personalities and job roles
– Strong verbal and written communication skills
– Excellent prioritisation and time management skills
– Proactive with a well-developed attention to detail
– Ability to adapt quickly to changing circumstances
– Ability to organise meetings and produce associated documentation
– Ability to work well under pressure and to tight time constraints
– A proven track record in delivering a high standard of customer service with a friendly and helpful approach
– 5+ years’ experience in executive assistant roles
– Proficient in MS Word, Excel and PowerPoint
– Commitment to using Marlin’s electronic filing and archiving systems
