About the role

The Role: Office Manager
Location: Sydney, NSW
Reports to: CEO and CFO
Position Type: Full time

The Opportunity:
We are seeking a team member who is looking to make a difference in the world; someone who is willing to play whatever role is necessary to bring about the end of world hunger. You’d be joining a high‐performing team who love what they are doing, and are keen to do more of it!

The Role & Responsibilities:
The role of Office Manager supports the rest of the team to successfully achieve their fundraising targets and KPIs by ensuring that the office and our systems run smoothly. This role is responsible for ensuring the end-to-end investor experience is seamless and we do not miss key follow-up points in signing up new investors and securing payment on pledges.

Administration
• Provide general office administration support including: answering the phone, picking up and distributing mail and packages and travel bookings
• Manage central THPA calendar
• Administration and maintenance of Raiser Edge CRM and NXT
• Administration and maintenance of Microsoft SharePoint
• Daily processing of Raisers Edge batches and receipts
• HR process and procedures
• Administration Orientations of new staff and volunteers

Office/Facilities Management
• Manage computer hardware and software and resolve technology issues in conjunction with IT supplier
• Ensure office equipment is functional and well maintained; and stationery supplies maintained
• Work with building manager and lessor to manage building facilities such as meeting areas, office space and kitchen; ensure kitchen supplies are stocked
• Preparing the office space for onsite events such as board meetings and other investor e events
• Work with the staff to keep office tidy and organised, including filing of papers and regular clean-up projects
• Fire Warden/ First Aid Officer

PA and Staff Support
• Assist the CEO when required – scheduling of meetings and travel arrangements and other requirements
• Running volunteer program
• Coordinate on-boarding of new staff – setting up workspace, organising accounts and building access, scheduling relevant introductory meetings
• Maintaining the Pro-bono and volunteer register using Raisers Edge
• Manage company membership program
• Provide assistance to Marketing, Fundraising and Program teams as required during peak times (e.g. for mail campaigns, events, community campaigns)
• Support for direct mail to the Fundraising team
• Event support to the Marketing team
• Management of THPA Campaign Project Plan (via MS Project)
• National Board meetings coordination
• Development Boards support

The Person:
Background & Experience
• You are self-reliant and self-managing, with an eye for detail and are able to relate to our investors
• Excellent communication skills including friendly phone manner
• Experience working with customer and/or fundraising databases, ideally Raisers Edge
• Experience with Microsoft office suite
• Relevant experience in organising and managing office environments and the various projects associated
• Personal Assistant or equivalent experience supporting a senior executive

Personal Attributes
• You appreciate the big-picture, but are happy to dive into the details and be the one responsible for getting things done – data entry, answering phones and emails, keeping the office space organised and well-stocked
• You are proactive, values-driven, passionate and honest
• You will think innovatively and creatively to manage workload, including setting up and overseeing volunteers to perform tasks
• You must have an adaptable and professional attitude and be able to prioritise your workload to meet deadlines
• While clear about your priorities, you manage new tasks with grace and good will
• You are passionate about working in an area where you make a huge difference!
• You will enjoy joining a global movement of people from all over the world playing a part in ending world hunger
