About the Role

The Personal Assistant will provide high quality 1:1 administrative services to support the Manager Humanitarian Settlement Services and assist Humanitarian Settlement Program (HSP) direct reports in the performance of her role and required participation.

Duties & Responsibilities

Anticipate, organise and coordinate work flow through email and diary management, prepare and manage correspondence, meetings, take minutes at key meetings, and liaison with all SSI offices.
Coordinate media and speaking engagements by managing enquiries, invitations and liaising with Marketing and Communications staff to prioritise opportunities and make recommendations.
Collate relevant papers and materials, prepare high level PowerPoint presentations, and undertake research to support meetings and speaking engagements.
Coordinate internal and external meetings, functions, conferences, and events and provide administrative support as required.
Arrange and support travel, accommodation, expenses, filing and all administration duties for the Manager.
Coordinate travel arrangements for the HSP Team through the FCM booking system.
Work with HSP team to ensure timely submission of information for meetings and external engagements.
Maintain knowledge of SSI’s operations, processes and people in order to facilitate aligned support.
Undertake general administrative functions and provide ad-hoc support to the Manager and her senior team as and when required.
Comply with all SSI’s policies and procedures and statutory obligations.
Work constructively in alignment with SSI’s values.
Comply with all occupational health and safety, child protection and equal employment opportunity initiatives to contribute to a safe, healthy, equitable and ethical workplace.
Participate in SSI’s performance management program including regular performance reviews and work in accordance with an individual work plan.

Skills & Experience

Qualifications in business administration or a related discipline.
A highly resourceful team-player, comfortable working in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, and efficient.
Excellent time management and organisational skills
Demonstrated ability to manage up
Excellent verbal communication and highly developed interpersonal skills and diplomacy
High-level customer service and attention to detail
High-level written skills.
