The Cancer Support Group ACT Eden Monaro’s Own provides financial support to cancer patients living in Canberra, Queanbeyan and surrounds.  We are a small, friendly, hardworking office which performs a range of tasks daily.  From registering cancer patients for assistance with us, general administration tasks, Social Media engagement, to organising and assisting at a variety of fundraisers.

About the role

Due to one of our staff moving on to a new role, we are in need of an energetic and multifaceted staff member to join our small team for immediate start.

The Volunteer Coordinator has the responsibility for all activities associated with any functions that the CSG are holding or are involved with to raise funds to support the Organization, recruiting of volunteers, updating and maintain rosters for the volunteers, manage and oversight the CSG website, responsible for updating and maintaining the CSG Facebook & Twitter accounts and other administrative duties that are required to assist the CEO to meet the CSG objectives.

Office Support Officers role is activities associated with the day to day running of the organization, including payment of the patient’s medical accounts, registering new client’s and other duties that are required to assist the Senior Administrator.

Key components of the role include:

  • Professional and empathic handling of incoming requests for assistance while abiding by the rules of assistance provided.
  • High level administration including entry into database and a variety of Office software.
  • Assisting with the organisation and running of fundraising events.
  • Social media engagement.
  • Volunteer engagement, rosters and management.
  • Talk directly with cancer patients, calling them to advise them on the financial support we can offer them, opening chemist accounts and entering them into our data base.
  • Processing and paying monthly accounts.
  • Monitor, respond and redirect emails and phone calls as appropriate, including initial enquires to the main phone line
  • Taking phone enquiries from patients
  • Processing of donations, sending out donation receipts and thank you letters in a timely manner.
  • Order stationary and purchase kitchen supplies as required.
  • Posting the mail/ taking items to the post office as needed.
  • Daily data entry using MYOB, Excel, and our patient database
  • Maintain update and troubleshooting within data systems
  • Maintaining the integrity of the database
  • Undertaking system maintenance and back ups
  • Importing data
  • Helping to prepare patient reports for the Board of Directors monthly meeting.
  • General administration tasks as directed by the CEO
  • Some previous experience with fundraising would be an advantage but not essential

 

This is a full-time role or job share for the right candidates, which would suit someone who has some administration experience and would now like to become involved in a Community Service role.

The type of person we are looking for will need to possess:

  • A sound working knowledge of MS Office Suite, Adobe Acrobat, MYOB and the ability to easily learn new software
  • Typing and data entry skills with a high attention to detail
  • Ability to build rapport with a large variety of people including cancer patients and their families, volunteers, supporters and government agencies
  • A strong work ethic
  • Ability to work in a small team environment
  • Willingness to attend events and functions outside of work hours
  • Willingness and ability to learn in every area
  • Currently have (or willing to obtain) a Working with Vulnerable People card and Police Check
  • A Current Australian Drivers License
  • Exceptional time management skills and the ability to priorities tasks and effectively manage a busy work load
  • Priorities and follow up

  • Excellent interpersonal and communication skills
  • Strong and clear written and verbal communication skills
  • Excellent telephone manner and customer service skills
  • Ability to maintain confidentiality and handle sensitive matters diplomatically and discreetly while showing empathy at all times.

  • Terms and conditions:
  • Salary and conditions are in accordance with the Social, Home Care and Disability Service Industry Award 2010, plus the current 9.5% Superannuation contribution. While legislation allows, Salary Sacrifice packaging is offered with this position.
  • All offers of employment are subject to a six-month probationary period.
  • All offers of employment are subject to satisfactory:
  • Criminal History Check (reviewed every 3 years, where relevant an international police check will be required)
  • Working with vulnerable person check
  • A current Australian Driver’s License
