The ATW is regarded as an international centre of excellence for innovative, contemporary, hand-woven tapestries, created in collaboration with leading artists, architects & designers. Established in 1976, it is the only workshop of its kind in Australia and one of a few in the world dedicated to the production of hand-woven tapestries.

 

About the role

Position Title: Bookkeeper /Accountant

Salary: $30 – $36 per hour plus superannuation contribution (depending on experience and qualifications)

Hours: Part time (2 days per week flexible hours)

Reports to: Manager, Operations

Contract position: 12 months with the option to renew

ROLE CONTEXT

The Australian Tapestry Workshop (ATW) is Australia’s leading tapestry workshop, located within 10 minutes of Melbourne’s CBD in South Melbourne.

The Bookkeeper/Accountant is a key member of the administration team, reporting to the Manager, Operations and the Director. As a not-for-profit entity the ATW has a range of revenue sources including commission income, income from admission fees, retail, donations, government funding and corporate partnerships. The ATW operates on a calendar year for management and statutory reporting. 

This position works closely with the Director, Operations Manager and Board subcommittees in the areas of financial and budget planning and reporting, commercial operations, payroll, grant acquittals and government reporting.

POSITION SUMMARY

The role of this position is to manage the financial and business systems of the ATW to meet the reporting requirements and the ATW’s corporate objectives.

We are looking for a highly motivated person to perform accounting duties for the ATW and assist in the general financial management of the ATW.  The Bookkeeper/Accountant works closely with the Manager, Operations in the management of key financial administrative tasks of the ATW, including budget development and the annual business plan.

KEY RESPONSIBILITIES

  1. Processing of all financial transactions including accounts payable and accounts receivable including end of month review and all reconciliations, payroll and superannuation and records management.
  2. Preparation of monthly financial statements including Profit and Loss Statements, Balance Sheets, Trial Balances and Cash Flow statements, and regular reports on asset register, stock-takes, depreciation schedules, employee entitlements, workcover,  payroll tax and PAYG summary, preparation of annual financial reports.
  3. Manage the preparation and distribution of monthly reports to staff and Board
  4. Prepare annual statutory financial statements to international reporting standards and co-ordinate all aspects of the annual audit process.
  5. Oversee all banking requirements, cash management, invoicing and debt collection
  6. Management of petty cash and cash receipting, donations and payments.
  7. Manage and ensure compliance of BAS, GST and other statutory issues etc.
  8. Fulfil statutory requirements for reporting to ASIC and other relevant government departments.
  9. Ongoing management if the ATW’s accounting systems
  10. Prepare financial submissions and complete acquittals for government, philanthropic, corporate and private grants.
  11. Reconcile all donations and prepare timely reports and acquittals for ACNC, CAV, ROCO, Queensland Govt and other government bodies as required for the ATW’s tax deductible status.
  12. Comply with ATW Finance and Audit policies and procedures, and ensure they are best practice at all times.
  13. Ensure that the physical and electronic records of the organisation are properly managed,  and meet legislative requirements

KEY SELECTION CRITERIA

Qualifications

  1. Degree /Diploma in accounting, business administration or commerce and membership of a recognised professional body.
  2. Demonstrated experience in a similar role

Skills and Experience

  1. Demonstrated high level experience in bookkeeping, financial reporting including preparation of  monthly and annual reports to management,  government ,  and relevant bodies.
  2. Degree or Diploma in accounting, business administration or commerce, or relevant demonstrated experience.
  3. Demonstrated high level experience in Xero including payroll, customer relationship databases, Microsoft Office suite of products.
  4. Strong work ethic, highly motivated and understanding of confidentially
  5. High level numeracy skills and cash handling skills.
  6. Excellent communication and interpersonal skills.
  7. Excellent organisational skills, flexibility and ability to work well in a team.
  8. Ability to set priorities and meet deadlines.
  9. Strong commitment to high quality customer service, and pro-active and outcome focused. 

Systems Skills

Demonstrated high level proficiency in:

  1. Xero
  2. Microsoft Office programs
  3. Project management systems

DESIRABLE

  1. Working knowledge of Microsoft Access.
  2. Sound knowledge of Human Resources legislation and principles.

OTHER RELEVANT INFORMATION

  • A 12 month contract will be offered following completion of a three month probation period and performance review.
  • The successful applicant will be required to undergo a Victorian Police Records’ check.
