About the role

Administration, Intake and Referral Officer: Strong Minds Program

Perm Part Time, 38 hours per fortnight – Located in Auburn

 

ROLE OBJECTIVE

The Strong Minds program within our Community Initiatives Team offers early intervention support to vulnerable children (birth to 18 years) and their families who are at risk or affected by mental illness. It services three funded locations within Western and South Western Sydney.

 Key aims include: improving children and young people’s mental health and wellbeing and lessening the impact of mental illness through de-stigmatizing and improving awareness in the community.

The primary objectives of this role include supporting the Intake and Assessment processes of the program, data entry into organizational systems and government portals, providing information and feedback to stakeholders as required, generating reports, contributing to quality improvements, supporting the development of promotional materials and other administrative supports as required.

 

MAIN DUTIES

  • Assist in maintaining and managing referrals to the Strong Minds Program through intake and referral process and overseeing the program email inbox
  • Provide feedback to referrers and clients about the progress of their referral as appropriate and information to stakeholders, including clients, about the Strong Minds Program either via telephone, mail or email
  • Ensure all required data for the funding body is available to be entered into WA’s client data management system (SUGAR) and allows for seamless upload to the Department of Social Services data exchange (DEX)
  • Generate reports, including SUGAR, DEX and other as requested by the Strong Minds Program Manager and Community Initiatives General Manager
  • Contribute to Quality Improvements in the Intake and Assessment referral process in consultation with the Strong Minds manager and team
  • To support the development of promotional materials, including use of social media as directed by the Strong Minds Manager and in consultation with the marketing team at the Woodville Alliance
  • Provide administrative support to the WA Strong Minds team as directed by the Manager, including but not limited to; minute taking, photocopying, preparing letters, answering calls and other general administrative duties.

ESSENTIAL

  1. Relevant tertiary qualifications e.g. Office Administration, Business Administration, Data Management, Health Administration or equivalent.
  2. A minimum of 2 years’ relevant work experience.
  3. Demonstrated experience in exercising discretion and confidentiality in order to handle sensitive information.
  4. Knowledge and direct experience with databases, including data entry, data uploads, cleansing of data and management of reports.
  5. Ability to work in a high-volume environment.
  6. Demonstrated organisational skills with the ability to multi-task and meet deadlines.
  7. Ability to work independently with minimal supervision while having regard for team and organisational needs.
  8. Strong written and oral communication skills with the ability to draft reports, minutes and correspondence with a high level of accuracy and attention to detail.
  9. Intermediate proficiency with Microsoft Office Suite including Outlook, Word and Excel.
  10. A current and verified National Police Check and Working With Children Check.
