About the role

This important position supports the Chief Executive (CE). It is a critical role working with the Executive Assistant team to be assured of strategic priorities and engagement with the CE. This role would be well suited to someone who takes a proactive approach to supporting the CE and is passionate in making a difference in community health.

The Executive Assistant provides support to the CE whilst working closely with other Executive Assistants of the Leadership Hub (cohealth’s Executive team).
The Executive Assistant acts as the central point of contact for internal and external stakeholders.The person in this position is required to work closely to exercise judgement, discretion and confidentiality, set priorities and schedule work to meet deadlines in a fast-paced, transformative environment.

This role will suit an energetic and enthusiastic administrator with high level written and verbal communication and negotiation skills. It is an integral role in ensuring smooth and efficient processes and communication to and from the CE .

The Executive Assistant has a broad role that supports the Chief Executive.
This multi- faceted and dynamic role has a range of responsibilities including:

  • Draft and coordinate high-level written communication on behalf of the CE including but not limited to responding to correspondence, preparing presentations and complex briefing
    reports (including for Board)
  • Coordinate and support high level committee meetings, including preparation of agendas and minutes in a timely and effective manner
  • The provision of proactive and high-level support to the relevant executives, (prioritizing the CE as required), including email, calendar and diary management
  • Proactively coordinate the internal and external activities of the CE, ensuring stakeholder management is prioritised
  • Coordinate support for meetings that the CE chairs, including the coordination of documentation for these meetings
  • Undertake sensitive and strategic liaison with staff, communities, key stakeholders, government departments, partner organisations and peak bodies as required
  • High-level understanding of the CE role requirements, and ability to provide advice on key issues for cohealth
  • Receptive to new ideas and changing environments and the ability to deal positively with ambiguity and change, recognising opportunities and promoting position involvement within a team environment
  • Ability to promptly respond to changed situations and make sound decisions to ensure the ongoing efficient and effective carriage of key deliverables within the role
  • Complete a broad variety of administrative tasks including but not limited to coordinating an active calendar of appointments; completing expense reports; arranging detailed travel plans,
    itineraries and agendas

About you:

  • Professional presentation, project management and communication skills
  • High-level writing skills demonstrated by drafting documentation such as reports, briefing papers and presentations
  • Ability to understand complex information and synthesise into briefings (verbal and written) for relevant executives
  • Minimum five to ten years’ experience working in a complex fast paced transformative environment
  • Dynamic interpersonal skills that result in positive relationships with a wide range of stakeholders
  • Able to work collaboratively to develop, implement and evaluate systems and processes
  • Experience managing competing priorities and astute awareness of prioritising tasks
  • A self-starter who sources information needed to solve work problems
  • Highly developed cognitive and conceptual skills that promote innovation and create problem solving
  • A commitment to social equity for all clients and visitors to cohealth
  • Strong values base that aligns with cohealth’s purpose, mission and values
