Your Impact
As the Reception and Administration Officer you will deliver high quality professional reception and customer service to all internal and external stakeholders.

Reception is a very important point of contact for refugee background survivor clients, their families and communities. Your role makes a vital contribution to ensuring the delivery of a trauma informed, supportive and professional service to all clients and service participants. You will be responsible for providing a psychologically safe and supportive welcome, as well as providing any assistance they may need to productively engage with the organisation. 

The Role

We are looking for an experienced receptionist with strong administration skills to join our supportive team and take on this vital role with a friendly, can-do approach.

In this role your activities will include:

  • Taking ownership of a professional, clean and welcoming reception environment.
  • Delivering high quality reception and customer service, ensuring prompt and appropriate responses to phone, email and in-person enquiries.
  • Engaging with a wide range of clients and stakeholders, acting with cultural sensitivity and confidentiality.
  • Administrative support for the Refugee Mental Health Clinic, including managing appointments, booking rooms, processing Medicare claims.
  • Assisting staff with other requirements, such as room bookings and set-up, catering, stationary, supplies, etc.

  
What You’ll Need
To be successful, you will need to positively respond to the following key selection criteria:

  • Previous experience working on a busy reception desk (within a health, not-for-profit or community setting is advantageous but not essential).
  • Excellent interpersonal and communication skills, written, in person and on the phone.
  • Strong administrative skills and technical proficiency with programs such as MS Office 365 (Word, Excel, Outlook).
  • Understanding and compliance with privacy and confidentiality due to the sensitive nature of our organisations work.
  • Ability to work well with people from culturally and linguistically diverse (CALD) backgrounds.
  • Excellent time management skills with the ability to prioritise own work and to multi-task.
