Botanic Gardens Australia and New Zealand (BGANZ) is the peak body representing botanic gardens across Australia and New Zealand. With over 150 members, 90+ of which are botanic gardens and arboreta, our vision is to create a future where plants are valued and protected, ensuring a greener, healthier and more resilient world for generations to come. Our work unites and strengthens the botanic gardens network and their efforts to conserve species, connect people to nature and educate society on plant conservation.

About the role
Administration Officer (Part Time, 16 hrs/week)
12-month contract with possibility of renewal
The Administration Officer is the primary point of contact for members and stakeholders and provides essential administrative support across general operations, finances, governance, and member services. You will work closely with the CEO to:
- manage member and donor records and databases
- manage organisational inboxes and respond to member queries professionally and promptly
- onboard new members
- coordinate invoices, remittances, and liaise with our accountants as needed
- assist with governance including reporting to ACNC and Board and subcommittee meetings
- support policy upkeep and operational administration
- coordinate it and digital support
- support marketing and member communications
- help create tools and processes that improve efficiency and member experience
- perform other administrative tasks to support the team and organisation as required.
About You
We are looking for someone who is:
- organised and detail-oriented, with excellent time management skills
- proactive, able to take initiative and work independently while meeting deadlines
- an effective communicator, confident in liaising with members, stakeholders, and colleagues professionally
- experienced in relationship management (e.g. managing member or customer records and communications)
- tech-savvy, with a willingness and aptitude to learn new systems and tools quickly
- flexible and collaborative, with a commitment to supporting team goals and organisational objectives.
Essential Skills and Experience
✅ Strong written and verbal communication skills
✅ Excellent organisational and administrative skills, with attention to detail
✅ Ability to manage multiple tasks and prioritise effectively
✅ Confidence using Microsoft Office suite and cloud-based collaboration tools (e.g. SharePoint, Teams, or Google Workspace)
✅ Experience managing databases or member records systems (CRM or similar)
✅ Commitment to professional integrity and confidentiality.
Desirable Skills
⭐ Experience with WordPress website management
⭐ Experience with Xero accounting software
⭐ Familiarity with Canva or basic design tools
⭐ Experience in not-for-profit administration or membership-based organisations
⭐ An interest in botanic gardens, horticulture, conservation, or environmental organisations.
Role Details
- Part time: 16 hours per week
- Contract: 12 months, with the possibility of renewal
