St Vincent de Paul Society National Council of Australia Inc

The St Vincent de Paul Society National Council of Australia (‘National Council’) is united in its spirituality and management through the International Confederation of the St Vincent de Paul Society (The Rule, Part II, Art. 1.1).

National Council is instituted by the International Council General (Part III, Art. 15) and follows the international and Australian statutes outlined in The Rule.

National Council is governed by The Rule which, inter alia, embraces the principle of subsidiarity such that decisions are made as close as possible to the level where activities are performed ensuring local circumstances are taken into consideration (Part I, Art 3.9).

The Society in Australia consists of the National Council and six State Councils and two Territory Councils that together assist the Society’s Members carry out good works.

Under The Rule, the National Council is the Society’s superior council in Australia (Part II, Art. 1.6). National Council authorises the legal entities that operate in Australia in the name of the St Vincent de Paul Society. Each of the Society’s nine councils in Australia is registered as a charity with the Australian Charities and Not-for-profit Commission (ACNC).

Each of the nine councils has established a civil incorporated entity as the vehicle to deliver charitable works within their jurisdiction. National Council has established a legal entity to assist it to implement the mission of National Council in the civil environment. This entity is St Vincent de Paul Society National Council of Australia Inc. (‘the Association’) which is registered to operate in every state in Australia. In this document the Association is referred to as National Council.

National Council and some of the state and territory councils have established and control separate subsidiary legal entities to assist in the good works of the Society. Each subsidiary entity is registered with the ACNC.

The National Council Secretariate supports the work of National Council.

The Rule is the international Society’s internal manual that outlines Vincentian spiritual, the importance of servant leadership relationships and its governance framework. It includes a section (Part III) that sets out how the Society in Australia operates and implements its Mission.

About the role

We are looking for the right person to start as soon as possible.

We are seeking an accomplished Executive Assistant to provide high-level support to our Chief Executive Officer and the St Vincent de Paul Society National Council.

In this pivotal role, you will play an integral part in ensuring efficient operations and effective engagement with key stakeholders. You will be responsible for fostering smooth communication and interactions on behalf of the CEO, supporting the Society’s mission and strengthening relationships across our network. These include:

Domestic

  • National President, Deputy President and Directors of the Board

  • Presidents of State and Territory Councils where required

  • Chief Executive Officers of State and Territory Councils and other Society entities and their respective Personal Assistants

  • Ministers and politicians

  • Commonwealth Government officials and departmental officers

International

  • Office holders appointed by the Society Council General International

  • National Presidents, volunteer office holders and employees from overseas National Councils in Asia and Oceania Regions.

Key Responsibilities

In this role, the Executive Assistant will:

  • Provide high-level executive support to the CEO, including effective diary and correspondence management.

  • Prepare, review and coordinate documentation, briefings, and reports to ensure accuracy and timeliness.

  • Act as a key liaison between the CEO and internal/external stakeholders, ensuring professional communication and follow‑through.

  • Coordinate meetings, events, and national engagements, ensuring seamless logistics and stakeholder experience.

  • Maintain confidentiality and discretion in managing sensitive information and organisational priorities.

  • Support the effective operations of the National Council through proactive organisation and administration.

Selection Criteria

  • Demonstrated experience (10+ years) in providing support to C-level positions and the capacity to deliver such support services with short-term supervision.

  • Understands the application of ‘confidential’ across all environments.

  • Above average written and oral communications skills.

  • Eye for detail and a firm knowledge of English grammar.

  • Demonstrated time management skills, including the ability to prioritise, manage multiple tasks and meet deadlines.

  • Ability to build and maintain key stakeholder relationships.

  • Demonstrated ability to work independently with limited direction.

  • Demonstrated capability to prepare data visualisation.

  • Demonstrated understanding of, and commitment to, the principles of equity, diversity, continuous improvement, risk management, and occupational health and safety.

  • Demonstrated and proficient ability to use Microsoft Office Programs including Word, Excel, Visio, Adobe, SharePoint, Publisher and other software packages that assist the work of the Chief Executive Officer.

  • Highly motivated to achieve successful outcomes.

  • Ability to manage sensitive and confidential information.
