Your impact
The Executive Assistant to the General Managers (GMs) reports to the GM Corporate Services (GMCS) and works closely with the CEO’s Executive Assistant (CEO EA) to provide high-quality support to the Foundation House senior leaders. The role ensures the professional, efficient and effective functioning of the executive team and the organisation.
In Corporate Services we ensure the best people, resources, systems, processes, infrastructure, organisational structure and culture are in place to achieve success. Teams support the work of the organisation through excellence in Executive Services, Finance, Human Resources, Information Technology and Strategic Projects. All staff within the Corporate Services Group work collaboratively and constructively with each other, and with the wider Foundation House team.
This position primarily supports the four Foundation House GMs: GM Mental Health and Wellbeing, GM Practice Excellence, GM Community and Sector Capacity Building and GM Corporate Services. They also assist the Chief Executive Officer (CEO), the Executive Assistant to the CEO and provide back-up support to Head Office and Regional reception/administration teams on an as needs basis. Tasks will be directed by the GMs and by the CEO Executive Assistant.
The role
The role of Executive Assistant to the GMs is responsible for diary support and communication coordination. Professional liaison and relationship management with a diverse range of key stakeholders is a key component of this position, as is the strategic assessment and prioritisation of important issues.
Key responsibilities include:
- Manage Outlook calendars, including meetings, appointments and travel.
- Monitor inboxes, including flagging urgent requirements, drafting responses and redirecting correspondence.
- Support ad hoc and scheduled executive and Board meetings by preparing agendas and papers, taking minutes, following through on action items and business arising, organising catering, managing room bookings.
- Facilitate efficient flow of information and communication between GMs and internal and external stakeholders.
- Draft, proof, format and finalise high-quality correspondence, presentations, reports and briefings (internal and external).
This is a part-time (0.8 EFT), ongoing position based in our Brunswick office. We offer flexibility in how hours are structured across the week, with some opportunity for working from home.
What you’ll need to successfully apply
To be successful, you will need to positively respond to the below selection criteria:
- Demonstrated EA experience supporting senior leadership and a high-level understanding of executive team functioning.
- Excellent communication skills, both written and verbal, with the ability to liaise with a diverse range of stakeholders at all levels.
- Excellent interpersonal skills, including the ability to work cross-culturally and as part of a team in a modern and dynamic work environment.
- High-level organisational skills – planning, coordination, priority setting, task management and follow through.
- Deep appreciation of and ability with digital platforms and systems, including familiarity with Microsoft 365 and the MS suite including high proficiency in MS Word, PowerPoint and Adobe.
- Ability to prepare high quality and well-designed documents, including general correspondence, reports, meeting minutes and presentations with a strong attention to detail and excellent document formatting and document management skills.
