About the role

Girl Guides NSW & ACT has around 300+ properties that we manage across the two states.

The role will include :
1.Property Administration

3.Grant Administration
4.Property Marketing
5.Relationship building and Management
6.Special Projects

Job tasks and responsibilities
• •Administration of occupancy agreements (leases, licenses, management agreements) for the Association’s properties including liaison and negotiation with District Managers and Booking Officers (volunteers) and maintenance of the schedule of third party hirers.
•Maintain property asset registers, title registers and current property database incorporating all property records for the Association and authorized parties re renewals (insurance, lease renewal).
•Maintain the vehicle asset register including liaising with the relevant volunteers in ensuring vehicles maintain registration and insurance coverage as per our schedule.
•Maintain the safe custody register and ensuring documents are appropriately stored and recorded.
•Maintain the contractor schedule, ensuring all relevant contractor information is up to date including insurance and licence records are received and record. Includes liaising with relevant contractors.
•Administer all State property bookings, including advising on availability, pricing and property liaison for confirmed bookings with customers/clients, Property Caretaker/s or Committees.
•Ensure all Statutory and Regulatory obligations that fall within the area of responsibility are met.
•Assist in the preparation of Asset Management Plans and implementation of an Asset Management System as it applies to Property related activities.
•Externally, relate with community individuals and groups, regulatory bodies, government departments, consultants and contractors as necessary.
•Oversee the reporting to the Crown Lands Department annually in respect of usage of Crown Reserves.
•Assist with the management of facilities and services for State Properties.
•Assist the administration of insurance claims and renewal processes including data review and data entry.
•Assistance in the administration of grant applications including liaising and assisting the Property Operations Manager, District Managers or nominee, including drafting applications, collating of documentation, lodgement and completion. Includes assistance in maintaining accurate data spreadsheets, reflecting specific project information and current status.
