About the role
Youth Activating Youth (YAY) is a not-for-profit organisation that assists disadvantaged multicultural Australian youths to re-engage in their communities. YAY was established by youth and community leaders to offer support to marginalised disadvantaged youth consistently falling through the cracks. Since 2014, YAY has grown from a youth-led committee into a not-for-profit organisation with a diverse and multidisciplinary board and a committed team.
YAY aims to bridge the gap that currently exists between different government organisations, non-profit agencies and other service providers. Their programs provide disadvantaged and disengaged young people with the essential skills needed to build self-confidence, self-efficiency and networks that will encourage a more enduring development.
Youth Activating Youth is embarking on an exciting phase of growth and require an organised Executive Assistant to join their team. Reporting to two Directors / Co-Founders, the Executive Assistant will provide executive level support and coordination. You will be responsible for a full range of secretarial and administrative support functions to ensure the smooth and effective administration of the executive office including prompt, courteous and effective communication with a variety of internal and external stakeholders, preparing meeting agendas, action lists and minutes, providing research and documentation for projects, scheduling travel and organising events.
This fast-paced role requires exceptional communication and interpersonal skills, and the ability to proactively manage correspondence, produce quality documentation and work collaboratively with the Executive team. You will be an administrative all-rounder; from maintaining and coordinating calendars and systems for the CEO and ED, to responding to enquiries from stakeholders, young people, staff and other partners, to assisting in the preparation and review and approval of Board and Committee Reports. You will ensure the effective administration function of Youth Activating Youth, and play a vital part in supporting growth, best practice systems and efficiency.
This diverse and busy role requires someone with initiative, a can-do attitude, excellent attention to detail and the ability to juggle multiple priorities and deadlines. Demonstrated experience and success as an Executive Assistant is essential, along with excellent organisational skills and proficiency in the Microsoft suite. The ability to undertake research and prepare summary recommendations for reports will be important, as will the ability to be proactive and work autonomously.
