JobWatch is an employment rights legal centre which operates out of Victoria and provides assistance to Victorian, Queensland and Tasmanian workers about their rights at work. JobWatch was founded in 1980 and is committed to improving the lives of workers, particularly the most disadvantaged. Their core activities include operating a free and confidential telephone information and referral service for workers; providing representation and assistance for disadvantaged workers through a casework legal practice; undertaking community education on issues about employment law; and engaging in law reform activities.
Reporting to the Executive Director, the Administration Coordinator / EA will be responsible for coordinating office administration and procedures to ensure organisational efficiency. The Administration Coordinator / EA will provide support across the organisation in a timely, proactive, and professional manner, and be responsible for providing executive level support to the Executive Director. This includes high-quality administration such as managing and responding to correspondence, scheduling and organising meetings, minute taking, undertaking research, and obtaining statistical information, along with the overall maintenance of the office environment.
You will be a creative, confident and resourceful all-rounder. You will take on a diverse range of tasks including answering incoming phone calls, typing reports and filing, maintaining the Legal Practice database, liaising with government, community legal centres and tertiary bodies, and assisting with JobWatch events and activities. This is a busy role that requires someone with initiative and a positive, can-do attitude.
Proven success in an office coordination, executive assistant or administrative support role is essential, along with exceptional communication skills, strong customer service skills and excellent phone manner. You will have highly developed time management, planning and organisational skills with the ability to juggle multiple priorities, be proactive and work autonomously. Along with knowledge of and experience in MS office, accurate typing and data entry skills, and proficiency in the use of databases, you will be experienced in and enjoy building relationships and engaging with diverse stakeholders.
