Helen Macpherson Smith Trust (HMST) is an independent philanthropic trust established by Helen Macpherson Smith in 1951, who left the majority of her wealth to establish a perpetual philanthropic trust to benefit Victorian charities. HMST has since provided over $130 million in grants to Victorian charitable institutions for projects across Education, Community, Arts & Culture, Environment and Health.

Reporting to the CEO, the Executive Assistant and Office Manager is responsible for providing support to the Chief Executive, Finance Executive, Board and Committees, and to ensure professional and efficient operation of the Trust office. You will manage reception, confidential information and co-ordinate diaries, travel, site visits, events and projects. This important role will prepare correspondence, agendas, board reports, minutes, and reports, and engage professionally with stakeholders including the not-for-profit sector.

This diverse, interesting and hands-on role requires an Executive Assistant to partner closely with the CEO, as well as manage the administration function and operations of the Trust Office including HMST library, policies and protocols (e.g. COVID requirements, privacy), accounts payable, petty cash, maintaining office supplies, equipment, building maintenance, software, database, files, archives, supplier contracts, and various projects.

About YOU

  • High level of professionalism, enthusiasm and attention to detail
  • Sound communication and interpersonal skills
  • Understanding of governance including papers, minutes and reports for Board and Committees
  • Excellent stakeholder engagement to liaise with a range of public, private and non-profit stakeholders
  • Advanced skills in Outlook/Word, basic skills in Excel and experience in working with databases
  • A proactive and collaborative approach
  • Demonstrated capacity to work independently
  • Initiative and commitment to continuous improvement
  • Proven track record of success in a high-level executive assistant role (min 3 years)
