About the organisation
WHIN is the women’s health promotion and advocacy organisation for the northern metropolitan region (NMR) of Melbourne. WHIN is a not-for-profit member-based organisation committed to improving the health, safety and wellbeing of women and gender diverse people.
WHIN works to eliminate gender inequalities and improve the health, safety and wellbeing of women and gender diverse people. We do this through leadership, advocacy, training, research, and strategic partnerships.
About the role
We are seeking to appoint an Administrative Support Worker to help us with the smooth and effective operation of the organisation. This will be done through completing a wide range of administrative support functions, along with event management, project planning, data management and stakeholder management.
SOME OF THE KEY TASKS INCLUDE:

Organise printing and dissemination of WHIN collateral, training material and publications.

Carry out tasks relating to the induction and orientation of new staff members, including setting up equipment and user accounts.

Liaise with internal and external stakeholders (including our outsource IT provider) in relation to problem identification and resolution, support and procurement.

Ensure WHIN membership records are maintained and up to date according to the WHIN Constitution.

Participate in the planning, organisation and delivery of key WHIN events such as Annual General Meeting and International Women’s Day.

Provide a wide range of support to the organisation to plan, organise and deliver a variety of other WHIN events such as training, forums, campaigns, launches and meetings (virtual, face to face and hybrid). This may include venue booking, catering, managing attendees, set up / pack down, arranging of gifts and analysing feedback.
KEY SELECTION CRITERIA:

Essential:

Experience and competency in coordinating and providing a range of high-level administrative support.

The ability to plan and coordinate events.

Proven competence, efficiency and attention to detail in the use of computers and contemporary software packages, including spreadsheets and databases.

Well-developed interpersonal skills and the ability to communicate and liaise effectively with internal and external stakeholders. This includes the ability to respond effectively to enquiries either in person, by telephone, or through written correspondence.

Effective management of time and prioritising of tasks.

Strong analytical and problem-solving skills with a commitment to continuous quality improvement.

Ability to work both independently and as part of a team, and respond flexibly to organisational demands and priorities.

Demonstrated commitment to WHIN’s vision, mission and values and strategic plan.

A Victorian driver’s license.

Ability to speak a community language

Cert IV or equivalent in Business Administration
