Organisation Name : Harm Reduction Victoria

Harm Reduction Victoria (HRVic) is a not for profit, community organisation for people who use drugs. HRVic does not condemn nor condone the use of drugs. HRVic merely recognises that drug use happens and as such, aims to reduce any possible harms associated with that drug use. HRVic is a health promotion organisation that is guided by the belief that any drug related harm should be treated as a health issue and not a criminal issue.

Our aim is to advance the health and wellbeing of people who use drugs by creating an environment in which individuals are empowered to realise their aspirations, meet their needs and participate fully in society.

Our membership, staff and supporters include current and former people who use drugs, their allies and their support networks and people who support the values and objectives of Harm Reduction Victoria. 

We prioritise the issues and concerns of people who use drugs in all that we do within a community development framework. The philosophy of harm reduction and advancing the health and human rights of people who use drugs guides all of HRVic’s work. HRVic’s interventions are individually and collectively targeted, in order to promote a culture of safer drug use.

About the role

Harm Reduction Victoria is looking for an Organisational Services Support Officer to join its team!

  • $39.26/hour, SCHADS Level 4
  • This is a .8EFT (4 days per week), fixed-term contract position

Position objective

To assist in ensuring the efficient operation of administrative and support functions within the organisation.

Key Responsibility Areas

General Administrative Functions & Organisational Support

  1. Act as the first point of contact for incoming phone calls & visitors
  2. Undertake all office functions including ordering of office supplies, equipment maintenance and repairs, online booking system, asset register, mailings, etc.
  3. Maintain an accurate, organised and up to date electronic central filing system for office records and documents via SharePoint.
  4. Prepare agendas for various organisational meetings, take minutes, distribute to participants if needed and follow up on action items.
  5. Provide HRVic membership support including database maintenance, communication with members, Annual General Meeting preparation and mailings
  6. Develop strong and effective relationships with a variety of individuals both internal and external including staff, sector workers, health trades people and other business and service providers.
  7. Assist with maintaining the HRVic Admin email inbox and calendar, as well as the HRVic Info email inbox. Refer incoming requests to appropriate Team Coordinators and ensure all enquiries are followed up.

Coordinator Support

  1. Provide direct support to the Organisational Services Coordinator including executing documents, financial reconciliation, updating templates, etc.
  2. Assist team in organising meetings, arranging travel & accommodation, booking/calendar invites and attending project meetings in a secretariat capacity if requested

Executive Support

  1. Assist CEO in managing calendar and incoming & outgoing requests, specifically to ensure key relationships, responsibilities and organisational priorities are managed efficiently.
  2. Support CEO to meet reporting requirements for Board of Directors.
  3. Provide other specific support as agreed, with a focus on organisational support.

Secretariat Services to the Board of Directors

  1. In coordination with the Board President and CEO, arrange Board meetings and video meetings and support Board volunteers to meet their commitments related to governance and compliance.   
  2. Assist in the preparation of meeting papers & agenda, and record minutes of Board meetings and working group/subcommittee meetings, as required, and ensure these are done in a timely manner.
  3. Ensure Board records are kept securely and up to date.
  4. Organise catering for Board meetings, if required.
  5. Assist in the induction of new Board members.
  6. Maintain accurate records of Board meetings.
  7. Maintain corporate registration requirements of the Board and the organisation.

Key Selection Criteria

  1.  Well-developed organisational skills and the desire to take responsibility for organisational services. 
  2. Demonstrated initiative and ability to action work and follow tasks through to completion.
  3. Recent experience in an autonomous position, as well as ability to work as part of a team.
  4. Previous work experience in not-for-profit, non-government and/or community sectors.
  5. A non-judgmental attitude and alignment with the principles of Harm Reduction Victoria.
  6. Experience with Microsoft Outlook, Excel, Word and the 365 suite of cloud-based applications.
  7. Experience with Microsoft SharePoint and/or cloud-based storage
