About the role
The Public Education Foundation is a not-for-profit organisation dedicated to providing life-changing scholarships to young people in public education and enhancing the value and reputation of public schools.
The Foundation works in collaboration with schools, communities, unions, business and government to help students achieve their full potential and support teaching and learning excellence in the public education system.
The Public Education Foundation’s Administrative Assistant will support the staff team with office administration on a part-time basis (two days per week).
Position RESPONSIBILITIES:
The responsibilities of the position will vary according to PEF’s annual work cycle but may include:
- Checking scholarship applications and acquittal surveys
- Maintaining details in PEF’s CRM database
- Liaising with scholars on scholarship commencement/acquittal surveys
- Liaising with schools on checking bank/payment details
- Assisting with monthly reconciliation of scholar debit cards
- Liaising with external partners on scholar spending
- Communicating with scholars regarding all aspects of their scholarship
- Maintaining timetable of insurance/compliance renewal deadlines
- Updating website content
- Event support including development and dissemination of invitation lists and printing/framing of certificates
- Responding to email and phone queries
- Collecting, distributing and dispatching mail
- Booking meeting rooms and setting up for meetings as required
- Stationery ordering
- Supporting staff with correspondence and filing as required
- Other duties as required
Position SKILLS AND EXPERIENCE:
The person who occupies this role:
- Is proactive and dynamic with good judgment, discretion and interpersonal skills
- Has experience in an office environment
- Is capable of working in a small team and flexible enough to take on a variety of tasks as the need arises
- Has database skills and demonstrated experience working with Microsoft Office applications including Outlook and OneDrive.
- Capable of learning web management skills and CRM database management.
- Knowledge of graphics, layout and design is desirable
- Has experience in working with online platforms/portals
- Demonstrated experience using various digital tools, automation and technologies to complete job tasks efficiently and effectively e.g. SurveyMonkey Apply &/or HubSpot.
- Values accuracy and attention to detail
- Possesses the discretion to manage confidential data
- Is able to work independently
- Is able to represent the organisation to external stakeholders in a professional manner
- Is highly organised and motivated, and works well in a team
- Is passionate about public education, and about helping students in public education to achieve their full potential
