As Administration & Operations Co-Ordinator (AOC), you will be responsible for coordinating and supporting across DGB’s vital operational functions, including administration, finance, HR, events and IT. Reporting to the Managing Director (MD), you will demonstrate efficiency across end-to-end meeting coordination, including scheduling, agenda preparation and meeting minutes. With oversight over HR and finance administration, you will offer unwavering support to the team through effective support with onboarding, leave requests, invoice management and reporting to bookkeepers for payroll. In ensuring smooth daily operations, you will provide support with travel and event logistics, as well as the management of DGB’s social media accounts and regular newsletters.

About YOU
- Minimum 2-3 years professional experience in a similar operational, administrative or fundraising role.
- Proven experience in end-to-end meetings management, including exposure to scheduling, agenda development and minutes management, within a dynamic fast-paced environment.
- Knowledge of operational HR support, with experience in managing calendars, leave requests, reimbursements, and supporting with the onboarding of new employees.
- Well-developed experience with the functionality and usage of common software programs. Competency working with Microsoft Office, Google Workspace (including G-Drive, Zoom, Adobe, Wix and MailChimp advantageous.
- Effortless interpersonal and communication skills, including the ability to engage with internal and external stakeholders.
- Experience working within Australia’s NFP sector and philanthropic landscape, or eagerness to expand knowledge within the sector.
- Excellent organisational project management skills, including the ability to manage and prioritise multiple tasks and deadlines.
- Qualifications in Business Administration, HR or related field favourable.
- Experience in travel management, including managing flights, accommodation, compliance and reporting, highly regarded.
DGB offers a flexible working environment. The team works collaboratively across various parts of Australia and embraces technology to work together through their virtual, dynamic office. They also provide bi-monthly learning and collaboration sessions, hosted in person. This role will be based in Victoria, ideally Melbourne or Bellarine Peninsula, or other locations can be considered.
