The Tim Fairfax Family Foundation (TFFF) was established in June 2008. The TFFF exists to support rural, regional, and remote communities in Queensland and the Northern Territory to address the particular challenges they face due to their geographic location. About the role
Position Summary
The Office Coordinator supports the communications, events, and logistical activities of TFFF and is the administrative hub of the office. Reporting to the CEO, this role will ensure the smooth and ongoing operations of TFFF. This includes responsibility for the Foundation’s online presence, the coordination of site visits, event hosting, finance reconciliations, and diary management. The Office Coordinator role is part-time (0.6 FTE) and will require occasional out of hours work on weekday evenings. The position will involve working from TFFF’s office in Brisbane
Key Responsibilities
1. Administration
- Facilitate the hosting of meetings, visitors, and other onsite events
- Assist in the coordination of offsite visits
- Assist in diary management and maintaining TFFF’s annual calendar of activities
- Support the CEO with finance reconciliation requirements
- Support the Senior Program Manager and Program Manager in their assessment of grant applications as required
- General administrative support as require
2. Communications
- Maintain TFFF’s online presence, including but not limited to, the website and social media presence
- Assist with preparation of the Annual Report
- Maintain effective communication and contact with grant seekers and recipients as required
- Support TFFF team relationships with the Fairfax family members, wider family office members, and the philanthropic and not-for-profit sector
3. Team Support
- Assist with the preparation and compilation of Board and research papers
- Maintain and update office manuals and records
- General administrative assistance including data entry, preparing and maintaining files and document production
4. Knowledge & Engagement
- Engage in news, publications, and public discourse relevant to TFFF priorities and to the field of philanthropy more broadly
- Develop knowledge of philanthropy and not-for-profit sectors
Selection Criteria
- Excellent people skills
- High level of professional integrity and discretion
- Professional presentation and strong communication skills
- Organised and methodical with strong attention to detail
- Ability to work effectively in a variety of environments
- Commitment to teamwork and the development of effective relationships with colleagues
- IT skills including Microsoft Office, database, and website CRMs
- Ability to manage multiple tasks, prioritise effectively and produce high quality work within agreed timelines
- Interest in philanthropy and/or the non-profit sector

Remuneration
This is a 0.6 EFT role. FTE is $90,000 per annum plus superannuation. Pro Rata (0.6) is $54,000 per annum plus superannuation
