The Asylum Seeker Resource Centre (ASRC) is both a place and a movement. We are an independent not for profit, whose programs support and empower people seeking asylum to maximise their own physical, mental and social wellbeing. As a movement, we mobilise and unite communities to create lasting social and policy change for people seeking asylum in Australia. We are proud to be owned and run by our community of volunteers and supporters.
The ASRC employs over 100 staff and depends on 1000 dedicated volunteers to carry out programs that support and empower over 3,000 people seeking asylum each year.

The ASRC programs and services sit within six streams:

Fundraising & Marketing Stream
The ASRC Fundraising & Marketing Stream is responsible for achieving financial sustainability for the ASRC and the overall ASRC brand. The ASRC Fundraising & Marketing Stream is made up of six programs:
• Fundraising
• Regular Giving
• Philanthropic Grants
• Key Supporters
• Community Fundraising
• Fundraising Database; and
• Marketing and Brand

About the role

Grants Cooordinator
This is a new position within the Grants program, reporting to the Grants Manager. Grant funding is a vital income stream for the ASRC and the core purpose of this role is to provide administrative support in all aspects of grants management, to assist us to work effectively with our philanthropic supporters, as well as state and local government.

The ASRC is a community-funded organisation, free from federal government funding, which provides services to, empowers and advocates for people seeking asylum in Australia. Our approach to fundraising is based on communication, relationship management and creating a community of compassion. We see all our donors, grant-givers and supporters as critical parts of our mission to ensure people seeking asylum are treated fairly and have their human rights upheld.

The Grants program is responsible for all aspects of grants management across the organisation. As part of the Grants team, you will understand and reflect the needs of the organisation in all grant applications and relationships and build a robust and dynamic program grounded in efficient processes, meaningful reporting, flexibility and innovation.

Duties and responsibilities:
Under general supervision by the Grants Manager
• Identify opportunities, develop applications and coordinate reporting for small grants
• Coordinate engagement and nurture for our small philanthropic contributors
• Assist with the development of Grants program policies, processes and reporting
• Document processes, maintain records and produce reports for the Grants Manager
• Undertake timely and accurate data entry for all grants, according to program processes
• Complete entry of historical grants data over a 12-month period.
• Assist in co-ordinating information about ASRC’s services and programs to support all grant applications and reports
• Work within ASRC values and policies to ensure grants income is focused on organisational priorities, underpinned by the needs of our asylum-seeking members
• Ensure compliance with all organisational, funding body, legislative and regulatory requirements.
• Provide ideas for improvement and constructive input into change initiatives.
• Contribute to team activities

Key Relationships
Internal
• Direct and close working relationship with Grants Manager
• The Director Fundraising and Marketing, Fundraising and Marketing team members
• Through the Grants Manager and respective Directors – all staff and volunteers
External
• Relevant philanthropic, corporate, community, state and local government funders.
• Stakeholders and partners in the provision of fundraising initiatives.
• Relevant community stakeholders.

Accountability
The role is accountable to the Grants Manager for the fulfilment of requirements outlined in this job description. As is the case with all staff (paid and unpaid), ultimate accountability is to the CEO and ASRC Board.

Hours of work
This role may be offered as a 5 day (1.0 FTE) or 4 day per week position (0.8 FTE).

Location
The position will be primarily based at our Footscray office, but may require you to work off-site on occasion.

Selection Criteria
Essential:
• High-level written communication skills, ranging from storytelling to factual reporting
• Proven interpersonal skills; ability to collaborate effectively and develop positive working relationships with both internal and external stakeholders
• Outstanding administrative skills; quick and accurate computer skills, attention to detail and an understanding of the critical importance of accurate data management
• Demonstrated experience in developing, writing and reporting on grants in philanthropic and/or government contexts
• Excellent self-management, with flexibility to prioritise a range of competing demands and work to deadlines
• Capacity to work within a program framework with shared goals and processes
• Experience in working with people from culturally and linguistically diverse backgrounds, with a demonstrated commitment to the principles of social justice.
• Understanding and commitment to the vision and values of the organisation and an ability to articulate that clearly in fundraising and marketing strategies

Desirable:
• Experience working in community organisations with constrained resources and a significant volunteer workforce
• Skills and experience in a relevant allied field, such as social research, Monitoring and Evaluation, journalism, writing, design, photography, video, media, that may assist in developing the quality and variety of our proposals and reporting
• Proven experience in relationship building and success in nurturing opportunities.
Salary & Conditions
This position is offered either as a full-time role (1.0 FTE) or a part-time role (0.8EFT) position at Level 5 of the SCHADS Award. It will be an initial 12-month contract and then ongoing position (subject to satisfactory work performance).
The ASRC offers an exceptional salary package equating to around $80K per annum (pro rata), with a base of $70,187 (which is $56,149 pro rata), up to $15,899 per annum salary packaged, plus employer’s superannuation contribution and annual leave loading. Employment entitlements and benefits also include:
• Additional Meals and Entertainment Salary Packaging
• 1 Rostered Day Off every month (pro rata)
• 4 weeks annual leave (pro rata) with 17.5% leave loading per annum
• 2 additional weeks paid bonus leave at Christmas (at times determined by the ASRC)
