About the organisation
WCS is a charitable, for-purpose organisation with a mission to establish new crisis
accommodation services for homeless women in partnership with business, government and
community. We are an innovative model bringing new thinking and creative ideas to the
homelessness sector. We are currently working with several communities to establish new
women’s shelters and in the next phase of our development, require an enthusiastic and
driven Office Administrator to support our team. The role is part of a small team in a dynamic
and busy office, co-located with another charity. There is a unique opportunity for the right
person to contribute to job design and have a ‘hands-on’ role in growing the organisation.
About the role
Job Summary
The purpose of the Office Administrator post is to:
• Provide administrative support to
o Shelter Network and Operations Officer
o Chief Operations Officer
o Fundraising and Development Manager
o CEO
Duties & Responsibilities
Manage general office administration
• Provide administrative assistance and support to the team
• Manage telephone enquiries, messages and meetings as required
• Assist with correspondence with donors/supporters
• Co-ordinate WCS mail-outs
• Procurement of office supplies and managing office equipment as required
• Data entry into WCS donor/ambassador/volunteer database
Shelter Support
• Liaising with all Donations Co-ordinators at individual shelters and co-ordinating all donations received centrally
• Liaising with all Volunteer Co-ordinators at individual shelters and stewarding volunteer enquiries
• Administrative support to the individual shelters when necessary
Events Co-ordination
• Work with stakeholders to organise events supporting WCS and the shelter network
• Provide support and assistance at WCS events including organising catering
Other duties
• Maintaining clean and safe Office Environment
• Personal Assistant support to the team including acting as a runner where necessary
• Other duties involved with administration and events as assigned by the Shelter Network Officer
Essential Skills
• Strong computer skills including MS Office, email, WordPress websites and social media
• Strong organisational and administrative skills
• Excellent oral and written communication skills
• Thorough understanding of office administration
• Ability to produce business correspondence
• Knowledge of records management systems
• Ability to liaise effectively with a range of people, including VIPs and community organisations
• Ability to work as part of a team
• Time management skills
Desired Skills
• Tertiary qualifications highly regarded
• Knowledge of and experience of working in the community sector
• Experience in assisting with conference and meeting organisation and support
• Familiarity with and understanding of the needs of women experiencing homelessness, mental illness and domestic violence
Qualifications
Relevant qualifications or equivalent years in experience in a similar role.
