The Role & Responsibilities:
The role of Office Manager supports the rest of the team to successfully achieve their fundraising targets and KPIs by ensuring that the office and systems run smoothly. This role is responsible for ensuring the end-to-end investor experience is seamless through efficiently and effectively processing payments in the CRM.
Staff Support
• Provide support for busy periods during events and large campaigns
• Responsible for organising birthday celebrations, end of year celebrations and staff farewells
• Responsible for managing volunteer capacity and available resources
• Ensure consistent volunteer support for staff
• Provide support for direct mail campaigns
• Coordination of weekly team meetings and expansive thinking sessions
PA – CEO
• Schedule meetings on behalf of CEO
• Arrange domestic and international travel
• Assist with document development
Office Administration
• Managing the general organisation email inboxes
• Manage office calendar
• Collecting and distributing mail and packages
• Ensuring all stationary and kitchen supplies are well stocked
• Answer the phone
Facility Management
• Responsible for liaising with building management and communicating vital information back to staff
• Responsible for managing all office-based services
• Responsible for the preparation and management of office-based events
• Ensure smooth running effective workplace that is comfortable, tidy and efficient
• Liaise with safety officer to ensure office setup is safe
• Work with IT supplier and software providers to resolve any IT or network issues
• Responsible for the purchasing of new office equipment
HR Administration
• Responsible administrator for all accounts and online systems
• Responsible for advertising available staff positions and managing incoming applicants, where required
• Responsible for the recruitment and advertising of volunteers
• Onboard all new staff members and provide induction systems training
• Onboard all new volunteers and provide induction systems training
• Responsible for recording pro-bono and volunteer hours using Raisers Edge
• Record all annual and personal leave taken
Finance Administration
• Daily batch processing in Raisers Edge
• Processing of regular giving monthly payments
• Processing of small gift payments
• Invoicing due payments
• Issuing tax receipts
Board Administration
• Responsible for the updating the board report template
• Responsible for compiling final board paper for National Board meetings
• Manage board emails groups
• Liaise with National and Development Boards about meetings and events
• Responsible for catering for onsite and offsite board meetings
The Person:
Background & Experience
• You are self-reliant and self-managing, with an eye for detail and are able to relate to our investors
• Excellent communication skills including friendly phone manner
• Experience working with customer and/or fundraising databases, ideally Raisers Edge
• Experience with Microsoft office suite, including SharePoint
• Relevant experience in organising and managing office environments and the various projects associated
• Personal Assistant or equivalent experience supporting a senior executive
