About the role

Full Time, Fixed Term for 2 Years

Closing date for applications: 5pm on 14 September 2018

You will provide general administrative assistance to the Fundraising team and the Associate Director, Fundraising in relation to their day to day activities, including:

  • managing diaries, incoming and outgoing correspondence,
  • booking meetings and events,
  • drafting invitations to donors and thank you letters,
  • processing donations and generating receipts,
  • collating Foundation Board papers, and
  • managing RSVP lists for relevant events.

Other key responsibilities include:

  • Undertaking database tasks such as inputting donations, creating new and updating existing constituent records, developing and producing database reports and compiling guest lists for NGV events. Working with the Fundraising team to improve and enhance the database and implement improvements, as required under direction.
  • Assisting the Fundraising team with event support for NGV and stakeholder functions, including attending after-hours events, producing name labels, registration/welcoming duties and customer service roles. Coordinate occasional small events and logistics for engagement with important NGV stakeholders.
  • Coordinating NGV Women’s Association administration, including but not limited to responding to enquiries, updating records, preparing agendas for meetings and processing memberships, invoices, ticket sales and donations.

To be successful you will have previous experience in providing high quality administrative support and experience in liaising with high profile stakeholders. You can prepare basic letters, emails and reports using clear, concise and grammatically correct language, organising information in a logical sequence, including content appropriate for the audience coupled with the ability to handle highly sensitive and confidential information and material.

You regularly plan and track progress on work tasks, taking an organised, methodical approach to work addressing priority tasks first, focussing on the most important goals. You can observe fine details, identifying gaps in information and highlight practical considerations of plans and activities.
