Reporting to the Volunteer Coordination Unit (VCU) Manager and working with a dedicated and passionate team, you will be supporting the VCU Manager and the team of VCU Coordinators by undertaking a variety of administrative duties, particularly focussed on enhancing the team’s efficiencies and compliance in relation to screening and processes. VCU is in a period of change and adaptation; the VCU Administrator must play a positive and supportive role in managing expectations, pro-active communication, and problem solving.
A day in the life of a VCU Administrator might look like this, but every day can be different. Primarily, you will be:
- Performing scheduled monitoring activities and providing analysis and feedback to build efficiencies and a better day at work for stakeholders
- Creating and updating reports and monitoring activities, to support clear and transparent reporting.
- Performing a variety of administrative and reporting duties including data entry, spreadsheet and database management to enable the ongoing monitoring and update of the reporting tools
- Use the databases (CONNECT, CONNECT2, zendesk) to support the oversite of VCU processing activity, ensuring all data is clean for accurate reporting
- Clearly communicate team and organisation wide information to team members.
- Support the identification and reduction of processing errors, by respond to enquiries from VCU Volunteers and providing support to problem solve using the Volunteer support tools.
- Assist in evaluating the effectiveness of process documentation and support tools by capturing and recording feedback using a variety of tools.
Our successful candidate will possess the following:
- High Attention to Detail and Strong MS Office – particularly Excel (Experience with Pivots and Formulas an advantage)
- Confident executing and adjusting query based reports in CRM Database
- Process oriented and love working with data and sharing it with others
- Ability to complete complex administrative tasks with minimal supervision
- Highly developed customer service and interpersonal skills
- Excellent written communication skills
