About the Role :
• Greeting and managing all Residents, HRC Clients, visiting services, staff, volunteers and other stake holder interactions and requests in the Reception area, and follow up communication with the site as required
• Create a welcoming work space, including general maintenance of the reception area and supply source, including brochures, pamphlets, and readily available PPE for visitors and clients
• To answer the phone in a friendly and polite manner, transfer calls and take messages for staff via phone or email
• Take messages for Residents and HRC clients and pass onto the client or to their key worker, and to respect their privacy at all times.
• Answer all phone enquiries and assist clients and services with general enquiries about the service and programs run at Ozanam House
• Providing support, information and booking appointments for all clinics in the Health Platform, alongside the Health Receptionist
• Work collaboratively with all visiting services – maintain all appropriate appointment lists and other documentation for these services where required
• Complete all processes for attending Contractors onsite, ensuring the safety of the site for all.
• Complete other tasks as needed such as booking car parks, providing access swipe passes and keys & liaising with the Engagement Senior Worker and Building Manager when residents are impacted by onsite works.
• Monitor work area dynamics and promote a safe and comfortable environment
• Manage challenging behaviours where appropriate and act upon immediate risk of danger to self and others
• Attend and contribute to staff meetings, group de-briefs, reflective practice sessions and team building
• Actively engage with and utilise line management support and processes including regular appraisal, training, professional development and supervision opportunities
• Mentor and orientate other team members as necessary
• Provide training, operational guidance and leadership to Reception volunteers whilst they are volunteering at Reception
• Maintain effective working relationships with other key stakeholders
• Positively represent Ozanam House within the sector and broader community
• Maintain transparent communication throughout the team and within the framework of line management reporting requirements including providing timely updates as issues arise, providing accurate and relevant information, internal documents and reports as required
Key Skills Qualifications
Business or office administration (highly desirable)

- Excellent verbal, written and interpersonal skills
- Understanding of and aptitude for working with marginalised and disadvantaged people
- Well developed time management and organisational skills
- Ability to work independently and within a multi disciplinary team
- An ability to take initiative, to work flexibly and to prioritise work in tight time lines
