About the role

The Royal Children’s Hospital Foundation is seeking an Executive Assistant to support the newly appointed CEO.

The role of the EA is to support the CEO and oversee the smooth operation of the CEO’s office. The position operates at the strategic and operational levels and works closely with the Leadership team, Board and sub-committees. The EA is responsible for high-level reporting, management and resolution of strategic and operational issues. The role supports the CEO as Company Secretary to the Board. As well as supporting the CEO’s relationships and liaising closely with directors, donors, stakeholders, staff and other networks.

Your key responsibilities will include;

  • Diary management, ensuring the CEO is briefed ahead of meetings, coordinating appointments and meeting requests.
  • Drafting responses to email requests and external correspondence.
  • Coordinating the Leadership Team’s agenda; attending meetings, preparing notes and following up on meeting actions.
  • Coordinating meeting reports and papers. Preparing meeting agendas, minute taking and follow-up of action items.
  • Preparation of agenda, papers and minute-taking at Board Meetings and various sub-committee meetings.
  • Liaison with the Chairperson as required in the support of the Board and sub-committees.
  • Maintenance of Board filing, record-keeping and appointment records.
  • Undertaking research and development for projects, strategic initiatives and donor management as requested.
  • Coordinating travel arrangements.
  • Attendance at meetings on behalf or with the CEO as requested.
  • Administrative support to the Chairperson where requested.

We are seeking an experienced EA to CEO, who excels in a fast-paced, multi-faceted environment and will professionally manage and seamlessly execute all administrative and behind the scenes activities for the CEO. Excellent written and verbal communications skills and extensive experience preparing and managing board and committee papers and providing high quality governance is essential! A sense of humour and a passion for supporting the community will be ideal in this role as will your solid experience supporting CEOs.

The role is an ongoing hybrid role with an average of 2 days per week in the Parkville office but will vary depending on the needs of the CEO and the business. Some weeks you might be in the office 5 days and the next week it could be as little as 1 or 0 days in the office, so flexibility is key! Car-parking provided.
